Brief Description:
The Assistant Director of Academic Support participates in the general administrative,
academic and financial management of the campus. The ADAS also participates in the public relations and marketing efforts to provide the
civilian and military sectors with relevant information regarding University programs. In the absence of the Director of Academic Support or
the Associate Director of Academic Support, the ADAS continues all general operations of the campus with only minimal supervision provided
from the regional office.
Detailed Description:
Promotes the University and its programs through participation in college fairs, briefings of interested groups, and other available means such as sponsored events. Communicates with local civilian organizations as well as the military. Helps maintain a good relationship with the local Education Services Officer, Flight Chief, and Education Center staff. Assists with developing relationships with community contacts such as training managers and squadron coordinators in order to identify possible outreach opportunities. Maintain marketing literature and professional office appearance. Dress should be appropriate for office environment. Assists with social media efforts.
Responsible for the timely completion, submission, and webscanning of registration and end of term actions as applicable, matriculation applications, and student account collections as needed. Maintains pertinent data on these activities to be used in reports on campus operations. Maintains student data in student information system. Update student counseling sheet for continuity purposes. Participates in monitoring the enrollment patterns of the campus through the ERAU Dashboard. Use of Intelliworks program is required.
Provides various student services to include academic advisement of students concerning their degree progression, preparation of unofficial student evaluations, maintenance of student records, and reconciliation or follow up of student accounts receivable. Ensures student is counseled on transfer credits, pre requisites, assessment exams, and scholarship opportunities.
Submits appropriate online VA paperwork for those students who qualify for Veterans Education Benefits. In this capacity, submits any necessary supporting documents for the certification of veterans for educational benefits in a timely and accurate manner.
Acts for the Director of Academic Support or the Associate Director of Academic Support in their absence. Takes initiative and uses problem solving skills. Participates in mandatory training sessions as required to include some travel including conference and commencement. Actively participates in meetings by providing meaningful input.
Closely cooperates with the Director of Academics in support of the academic programs to include classroom coordination, faculty instructional resources, and acts as a faculty and student liaison as needed. Assists DA with identifying courses per student need. Assists with EVC implementation.
Processes information for reports and correspondence in a timely and accurate manner in accordance with published procedures. Prepares reports for various University and external agencies.
Assists in monitoring and processing budget expenditures for the campus. Practices diligence in safeguarding of University assets. Ensures equipment inventory is maintained, correctly labeled, and securely locked during closed office hours. Ensures office supplies are stored in an organized and neat manner.
Provides administrative support for the campus, including answering telephones, email, processing mail, copying, sending and receiving facsimiles, ordering supplies, maintaining files and updating procedural manuals. Responsible for creating marketing schedules and posting syllabi on the campus Blackboard organization.
Job Requirements:
Associates degree is strongly preferred and a minimum of one year of applicable experience.
Required skills, knowledge, abilities include analytical skills with an in depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook, and Internet end user applications. Excellent customer services skills required. Working knowledge of office procedures and equipment. Aviation background or experience is desired.
